Specialist clinic marketing: how to fill a hospital's consultant clinics
Consultants turn up, slots stay empty. How a private hospital fills its specialist clinics with clinic pages, referrals, routing and reminders.
By the Kren Agency team ·
Specialist clinic marketing for a private hospital comes down to five things: a page for every specialist clinic and consultant, clinic days patients can see, an easy route for doctors to refer, enquiries sent to the desk that books that clinic, and reminders before each visit. Get those right and empty consultant slots start filling.

Why do specialist clinics run half empty?
Most hospitals market the building, not the clinics inside it. A patient with knee pain searches for an orthopaedic clinic, not for your hospital's name. If nothing on Google or your website says you run one on Thursdays, they book elsewhere.
Inside the hospital, the problem continues. Calls for the ENT clinic reach a switchboard that doesn't know the next clinic date. Referral letters arrive and wait in a tray. Booked patients forget and don't come.
Each specialist clinic is its own small business. It needs its own patients, its own route in and its own number to watch. Our post on private hospital marketing in Nigeria covers the whole hospital. This one goes deep on the clinics.
What should each specialist clinic page show?
Give every specialist clinic its own page on your website. A single "Our services" list with twenty names helps nobody decide.
- Who it is for. The common problems the clinic sees, in plain words patients use.
- The consultant. Name, specialty, qualifications and a short, factual profile. No promised outcomes.
- Clinic days and times. "Tuesdays and Fridays, 9am to 1pm" beats "by appointment".
- What happens at the first visit. What to bring, including any referral letter or past results.
- How to pay. Self-pay, HMO or both, if your hospital accepts HMOs.
- One clear way to book. A button that books this clinic, not a general contact form.
Where a consultant sees patients privately, give them a profile page too, linked from each clinic they run. Our post on hospital website design must-haves covers the rest of the site.

How do patients find a specialist clinic on Google?
Google lets doctors appear on their own. Its guidelines treat doctors as individual practitioners who may have their own Business Profile if they are public-facing and can be reached at the verified location during stated hours. When several practitioners work at one location, the organisation keeps its own separate profile, and each practitioner's profile title should carry only the practitioner's name (Google Business Profile Help: Guidelines for representing your business on Google).
The same guidelines say a practitioner shouldn't have several profiles to cover all their specialisations. Departments that operate as distinct entities may have their own profiles, with names different from the main hospital. So decide clinic by clinic which ones patients contact directly, and keep the rest on the hospital profile. Our post on Google Business Profile for clinics covers the set-up.
How do you get more doctor referrals?
GPs, family doctors and smaller clinics nearby send patients to specialists every week. Most send them where referring is easiest. Make that your hospital.
- List your clinics for them. A one-page sheet of every specialist clinic, consultant and clinic day, kept current.
- Give one referral line. One phone number or form for referring doctors, answered by a named person.
- Book while the patient is still with them. Confirm a slot on the call where you can.
- Close the loop. With the patient's consent, let the referring doctor know the patient was seen. Doctors refer again to hospitals that keep them informed.

How should enquiries reach the right clinic?
Calls, forms and messages for every clinic usually land in one place, and that is where slots get lost.
- Ask "Which clinic?" first on every form and in every greeting message.
- Send each clinic's enquiries to the desk that holds its bookings.
- Give that desk the next three clinic dates for each consultant, so it can book on the first reply.
- Reply the same working day. A patient with a worrying symptom will not wait a week to hear back.
- Log every enquiry until it becomes a booking or a clear no.

How do reminders protect clinic days?
A specialist slot left empty by a no-show cannot be resold that morning. Remind every patient the day before and on the morning of the clinic. Keep the message short: date, time, the clinic's location in the building and how to reschedule. Leave out the condition or treatment, since others may see the patient's phone.
Then watch one number per clinic: slots booked against slots available, every week. It shows which clinics need more marketing and which consultants could add a session. Our post on reducing patient no-shows has more on reminder timing.

Questions hospital owners ask about specialist clinic marketing
Which specialist clinic should we promote first?
Start with the clinic that has the most empty slots and a consultant who can take more patients. Fill it, then repeat what worked for the next clinic.
Can each consultant have their own Google Business Profile?
Google's guidelines allow public-facing doctors to have their own profile when they can be contacted at the verified location during stated hours. The profile title should carry only the doctor's name, and one doctor shouldn't have several profiles for different specialisations.
Should we list clinic days publicly?
Yes. Keep the days current on your website, Google profile and referral sheet, and update all three when a consultant changes sessions.
Do we need a separate page for every specialist clinic?
Yes, if you want patients to find and book it. A page per clinic answers the questions a patient has before booking and gives your ads and Google profile a clear place to send them.
